So how does the service operate?

We allocate your business separate telephone and fax numbers for you to use or divert your calls to as needed. Our technology enables us to identify your calls so when your customers, suppliers or colleagues call your phone number, one of our trained receptionists will answer politely and efficiently in your company name, to a script defined by you in advance. Details of the call are then entered into our call logging system and actioned according to the caller’s request, in line with your standing instructions. Your messages will be relayed to you in whatever way suits you best. And at the end of each working day, we’ll provide you with a report by fax or email, detailing the day’s business. Best of all, The Reception Desk is a service you can easily switch on and off. Simply divert your calls to us while there’s nobody in the office to answer the phone, or let us field all your calls and transfer them to you. It’s your call.

Services tailored to your business needs

Our services are designed to be as flexible as you need them to be. We offer three levels of service, Lo-Call, Standard and Premium, depending on your call volume. Each is designed to meet a typical business need, which can then be tailored to suit your rquirements. All services offer professional call answering within the basic fee, including provision of separate telephone and fax numbers. Also within the fee is your daily report, delivered by fax or email to wherever you direct, which details calls answered and actions taken.

Services

NotifyNow - If the message is urgent, we can forward it to you however suits you best – fax, e-mail, SMS or to your mobile phone.

FaxForward - We’ll forward your faxes immediately to a number specified by you. Or we can scan and email your faxes, as well as dictate the content to you personally or to your voicemail.

MessageMail - We’ll answer your calls, deal with the caller’s requirements and leave a message on your voicemail or email box, summarising the call and any action taken.

VoiceMail - A full voicemail service for out-of-hours messages. You have a mailbox number and password. Choose either a standard greeting message or record your own via your telephone. We can also send an email notification every time you have new voicemail.

Contact Numbers - If you want to attract your customers with a freephone (0800), local-rate (0845), or national rate (0870) number, we can provide these for you. There’s no additional fee; you just pay for the calls (0800 and 0845).

BrochureLine - We can hold stocks of your literature and send it out, same day, to your customers on request. We’ll also react to your customers’ more urgent requirements by faxing or emailing material to them. We can gather vital market data for you too, by requesting relevant information from your customers who call.

OrderLine - Do you need to take customer orders, or is your existing sales line too busy? We can provide a sales order process from taking an order and forwarding it on, to full order fulfilment including picking, packing and despatch as well as invoicing.

InstantLetter - You’re stuck in traffic. You have to get a letter in the post today... call us and dictate your letter. We’ll word process the document, print it on your stationery and send it out first class today. We’ll send you a copy too.

MeetingLine - Need to arrange a meeting or conference? We can organise the venue, coordinate diaries with delegates, issue invitations and confirmations, book the refreshments... just tell us what you want — and consider it done.

MarketingLine - A great marketing campaign needs great back-up. We can establish a response centre tailored to meet the needs of your marketing activities, long or short term, from data entry through to managing email responses from your web site. This can be complemented by other services such as brochure fulfilment.
